Early-access terms

Using Business HQ

Business HQ is an early-access workspace for business records, invoicing and reports. Sign in to create your own account. Keep your account secure and enter only information you are entitled to use. Each new account starts as a member; an access code does not grant administrator permission.

Review invoices, tax rates, reports and exports before relying on them. The compliance tools provide guidance and preparation tools; the website does not currently submit returns to HMRC or Companies House, operate payroll, or connect automatically to banks and shops. You remain responsible for your business records, filings and payments.

Trials, plans and billing

The initial 30-day trial needs no payment card and does not automatically turn into a paid subscription. Access codes grant complimentary access on the terms shown when redeemed. Each account can redeem a particular code once. Codes do not stop or alter an existing Stripe subscription.

When paid checkout is enabled, the proposed Standard packages are Sole Trader £8.00, Limited Company £20.00 and Landlord £8.00 per month. Pro packages are Sole Trader £12.40, Limited Company £34.00 and Landlord £12.40 per month, including any applicable VAT. Sole Trader and Landlord include 10 invoice creations on Standard or 100 on Pro per calendar month. Limited Company includes 50 invoice creations on Standard or 250 on Pro. All Standard packages include 100 new transactions per calendar month; all Pro packages include 1,000. Allowances reset at 00:00 UTC on the first of the month and unused capacity does not roll over. Hitting a limit stops further creations of that type without an automatic charge. Existing records remain available to edit and export while the account has active access.

Six optional feature add-ons are available in the package selector: Recurring invoices, Advanced accounts, Property tools, CIS records and Payroll records are each proposed at £6 per month; Company preparation is £18 per month and includes Advanced accounts. Features already included in the chosen package or Company preparation are not charged again. Add-ons can be combined across business types. Confirm the features, total, discount and renewal terms in checkout before paying. Paid checkout has to be activated before a purchase is possible. Receipt scanning and reviewed bank/shop CSV imports are included. You can choose to store original receipt photos privately with an expense, within the displayed file and storage allowances. Automatic feeds, shop synchronisation, payroll calculations and live government submissions need provider setup and cannot be purchased as working features.

Standard includes the core workspace, invoicing, transactions, everyday reports, VAT records, MTD preparation and exports. Limited Company Standard adds Advanced accounts and Company preparation; Landlord Standard adds Property tools. Sole Trader Pro adds Recurring invoices, Advanced accounts and CIS records; Landlord Pro adds Recurring invoices and Advanced accounts; Limited Company Pro includes all six modules. New 30-day trials include all current tools, 100 invoice creations and 1,000 new transactions per calendar month. Existing trial end dates are preserved. Legacy packages retain their tools and uncapped allowances.

Subscriptions renew monthly until cancelled. A checkout success screen alone does not activate a plan; payment status is confirmed through the payment service. Manage billing through Plan & access. Changing a package or removing an add-on does not delete existing records; viewing and exporting those records remains available. A trial or paid period can still expire. One legal owner’s records belong in each workspace. Feature purchases do not change legal structure or administrator permissions. External payment processing and future specialist connections may have separate provider fees, disclosed before activation. Technical batch and abuse-prevention limits are separate from package entitlements.

Monthly capacity packs

Optional packs add 25 invoices for £2 per month, 100 invoices for £5 per month, 100 transactions for £2 per month or 500 transactions for £5 per month, including applicable VAT. Different packs can be combined once each and renew with the subscription until removed. They add monthly allowance rather than banked credits. Paid packs activate only after the payment service confirms the subscription change. Selecting a pack does not charge a card. Availability, any prorated payment and renewal terms must be shown before confirmation. Paid checkout and existing-subscriber changes require billing activation.

An invoice counts when its draft is created, including quote conversions and recurring drafts. New manual or imported income and expense records count as transactions; customer and product records, quotes, matching imported rows, invoice payment records and ordinary edits do not. Deleting a record does not refund its allowance. A customer/product converted into a new financial entry counts once. Removing capacity or downgrading preserves records but can stop further creations until usage is below the current allowance or the next month starts. A CSV import that would exceed the allowance saves none of the requested rows. Recurring preparation keeps completed drafts, stops at the limit and leaves the next occurrence due.

Cancellation, refunds and support

The operator still needs to publish the cancellation, refund, support and complaints policy before enabling paid checkout.

Nothing in these terms removes rights that cannot lawfully be excluded.

Recurring drafts, sending and payments

Recurring invoice drafts are prepared when you open the Invoices page or press Prepare due drafts. They are not prepared by an unattended scheduler while the website is closed. Review and issue each draft yourself. Sending a customer invoice requires a separate action, and direct email requires an activated sender. Provider acceptance does not guarantee inbox delivery. A hosted payment link does not automatically record a customer payment in Business HQ.

Your records and service changes

Download copies of important records regularly. You can export your records and use Settings → Backups & recovery to preview and restore available workspace recovery copies. Automatic copies run when business records change; they do not run on an unattended schedule and are not a complete disaster-recovery service. Original receipt images are stored separately: download them separately, as record exports and recovery copies do not contain the image files or recover permanently deleted photos. Early-access features may change, and availability is not guaranteed. Pricing or plan changes should be communicated before they apply to an existing subscription.

For how account information and business records are handled, read the privacy information. The operator’s reviewed policy below governs how support and service issues are handled; do not rely on an incomplete draft as a final service agreement.
